Role & Responsibilities

Position Overview

The Assistant Manager / Buyer – Materials & Logistics is responsible for procuring construction and industrial materials to support project execution and inventory needs. This role manages the end-to-end purchasing process, from supplier evaluation and negotiation to order fulfilment, while ensuring cost efficiency, quality, and timely delivery. The position also oversees inventory control, logistics coordination (domestic and international), and compliance with company policies and industry standards. Cross-functional collaboration with engineering, operations, accounts, and project teams is essential to ensure smooth execution.

Key Responsibilities

Procurement & Vendor Development

  • Source and develop local and international vendors; obtain competitive quotations and prepare cost comparison sheets.
  • Evaluate suppliers to ensure quality, price, and delivery requirements are met.
  • Negotiate pricing, terms, and contracts to achieve optimal cost and favourable terms.
  • Issue and manage Purchase Orders (POs), ensuring timely follow-ups until order fulfilment.
  • Analyse market trends and pricing to identify cost-saving opportunities and new sources. Inventory & Materials Management
  • Monitor stock levels, identify purchasing needs, and update the purchase database.
  • Ensure accurate records and timely replenishment of materials across sites.
  • Support production planning and inventory control to meet schedule and quality requirements.
  • Maintain accurate records of purchases, supplier agreements, and inventory transactions. Logistics & Shipping
  • Schedule and track inbound and outbound shipments to meet delivery parameters.
  • Coordinate with Customs House Agents (CHA) for import/export clearance.
  • Verify and maintain shipping documents; track consignments.
  • Recommend optimal shipping methods and routes balancing timelines, specifications, and cost.

Cross-Functional Coordination & Finance

  • Collaborate with engineering, project management, and accounting teams to align purchasing with project specifications and timelines.
  • Liaise with accounts team for vendor payments, Letters of Credit (LC), and Bank Guarantees.
  • Address supply chain issues such as delays, shortages, or quality concerns by liaising directly with suppliers.

Compliance, Documentation & Reporting

  • Ensure all procurement activities comply with company policies and relevant regulations.
  • Maintain accurate records for POs, vendor quotations, contracts, and logistics documents.
  • Prepare and present periodic updates on PO status, inventory position, shipments, and vendor performance.
  • Drive process improvements using data analysis and promote a positive, safe working environment.

Knowledge & Skills

Computer Knowledge
  • Proficiency with ERP systems and Microsoft Office Suite

  • Familiarity with material specifications is a plus.
